Khana Store is the admin behind your online shop. This guide walks through every screen your team uses, explains what customers see as a result, and shows how the parts connect, so a change in one place never surprises you in another.
Every sale follows the same path. Each step below has its own section in this guide.
Screenshots carry numbered markers like 1. Point at a step, or at a marker, and the matching area of the screen lights up 1. Use the arrows under a screenshot to walk through it one step at a time, or open it full size.
Buttons and menu items are written exactly as they appear in the dashboard, like Publish or Orders → Fulfill items.
A shortcut or habit that saves time.
Something that affects customers or money. Read it before you click.
Press Ctrl K to search every page, or ask the assistant in the corner of the screen.
Six steps take you from an empty store to a real order in your dashboard. You can do them in about ten minutes, and nothing here charges a real customer.
Open your dashboard at
Go to Settings → General. Enter the store name, a contact email customers can reply to, currency EGP and time zone Africa/Cairo. Click Save.
In Payments, switch on Test mode, then enable Cards and Cash on delivery. Test mode lets you place orders with test cards only.
In Shipping, add a zone called Greater Cairo with a flat rate of 60 EGP. Details in Shipping zones and rates.
Follow Add a product. A title, one photo and a price are enough for now.
Open your storefront, add the product to the cart and pay with this test card:
Within seconds the order appears in Orders as Paid and Unfulfilled.
Switch Test mode off in Payments. While it's on, real customers can't pay by card.
Home is the first screen you see after signing in. It answers three questions at a glance: how sales are going, what needs your attention, and where to go next.
Everything you manage lives here: products, orders, customers, payments, shipping, marketing and reports. The yellow badge on Orders counts paid orders waiting to ship.
Find any order, product or customer by name, order number, SKU or phone number. Press / anywhere to jump here.
Every number on the page follows the range you pick. Comparisons are always against the previous period of the same length.
Total sales, orders, average order value and conversion rate. Green arrows mean better than the previous period. Definitions in Reports.
Daily revenue for the selected range, with the previous period in grey. Point at a day to see its exact total.

A good product page is half your sales pitch. This walkthrough covers every field on the product screen, in the order you'll fill them.
Go to Products → Add product.
The name customers search for. Keep it short and specific: Linen Summer Shirt, not New shirt!!
What it is, what it's made of, how it fits and how to care for it. The first 160 characters also appear in Google results.
Up to 10 photos or videos. The first image is the cover on product cards. Drag to reorder.
Set the Price. Add a Compare-at price to show a crossed-out old price and the discount badge.
Give every item a unique SKU and enter the quantity on hand. Leave Continue selling when out of stock off unless you can restock fast.
Pick one category, add any collections, and add tags for search and filters. See Categories and collections.
Set Status to Active and click Publish. Draft keeps the product hidden while you work on it.
| Setting | Recommended | Why |
|---|---|---|
| Size | 2048 × 2048 px | Sharp on zoom and on large screens. |
| Shape | Square (1:1) | Product grids stay even. |
| Format | JPG or WebP | Small files, fast pages. The store compresses them for you. |
| Background | Plain white or light grey | The product stays the focus. |
The new price applies to new carts right away. Customers who already have the item in their cart see the new price at checkout.
Sell one product in several sizes, colors or editions. Each variant has its own price, SKU, photo and stock, but customers see one product page.
| Use variants when… | Use separate products when… |
|---|---|
| Only size, color or material changes. | The items are different products, like a shirt and trousers. |
| Customers compare options side by side. | Each item needs its own page, reviews and description. |
| Up to 3 options and 100 combinations. | You need more than 100 combinations. |
In Products, open the product and scroll to Variants.
Click Add options like size or color. Name it Size and add the values S, M, L, XL.
Click Add another option, name it Color, add White and Sand. The store creates all 8 combinations.
Set the price, SKU and quantity for each row. Select several rows to edit them together.
Click Save. Customers now pick size and color on the product page.

| Sand / XL | LSS-SND-XL | 690 EGP | 0 Out |
| Status | When | What customers see |

| Low stock | 5 or fewer left (you can change the number) | "Only 4 left" |
| Out of stock | Quantity is 0 | "Sold out" and a Notify me button |
| Pre-order | Selling while out of stock is on | Add to cart, with the restock date |
For many products at once, export a CSV from Products → Export, edit it, and import it back. Only these columns are needed:
Every morning at 9:00 the store emails a list of low-stock variants to the owner and store managers.
Categories, collections and tags each organize products in a different way. Used together, they help customers find what they want in two clicks.
| Purpose | Example | Per product | |
|---|---|---|---|
| Category | Where a product lives in the store menu | Men › Shirts | One |
| Collection | A curated or automatic group for campaigns | Summer 26, Under 300 EGP | Many |
| Tag | Keywords for search and filters | linen, breathable | Many |
Keep it to two levels so the menu stays short on phones.
Go to Products → Categories and click Add category.
Enter the name, pick a Parent category for a sub-category, and add a cover image.
Drag categories into the order you want them in the store menu, then click Save.
A smart collection fills itself from rules, so you never update it by hand. For example:
Use smart collections for campaign pages. When a product sells out, it drops off the page automatically.
No, one category keeps the menu and breadcrumbs clear. Use collections to show it in more places.
They stay in the store and move to Uncategorized. Nothing is deleted.
Every order moves through a few statuses. Knowing what each one means, and who changes it, keeps customers informed and your team in sync.
| Status | What it means | Changed by | Customer email |
|---|---|---|---|
| Pending payment | Checkout started, payment not confirmed yet | Automatic | — |
| Paid | Payment captured, or cash on delivery confirmed | Automatic | ✓ |
| Fulfilled | Packed and handed to the courier | Your team | ✓ with tracking |
| Out for delivery | The courier is on the way | Courier update | ✓ |
| Delivered | The customer received it | Courier update | ✓ with review request |
| On hold | Waiting on you, like a stock or address check | Your team | — |
Let the courier update it. Delivered starts the return window and sends the review request.
Cash on delivery orders skip Pending payment and arrive as COD. They count as paid once the courier collects the cash and your settlement report confirms it.
Fulfilling an order means packing it, creating a shipment and sending the customer a tracking link. This is the order screen you'll use for all of it.
Open Orders and click the order number.
Order number, date and two statuses: payment and fulfillment. Ship only when payment shows Paid or COD.
Check each item's variant and SKU against the shelf before packing. The count in the header is what's still unshipped.
Opens the shipment form: choose the courier, confirm the package weight and print the shipping label.
Contact details and the shipping address. Call before shipping if the address looks incomplete.
Customer notes in yellow and every change to the order. Internal notes you add here are never shown to the customer.
Print an invoice or packing slip, duplicate the order, refund or cancel.
If one item isn't ready, lower its quantity in the shipment form and ship the rest. The order stays Partially fulfilled until the last item ships.
Select several orders in the list and use Create shipping labels to print all labels in one go.
Refunds give money back. Returns bring items back. You can do one without the other, and both are tracked on the order.
Go to Orders, open the order and click More actions → Refund.
Pick the items and quantities. The amount fills itself. Tick Refund shipping if it applies.
Leave Restock items on if the items can be sold again.
The reason shows in reports. Click Refund 650.00 EGP to finish.
Once a card refund is sent, it can't be cancelled. Check the amount before you confirm.
| Paid with | Refunded to | Customer receives it |
|---|---|---|
| Card | The same card | 5 to 10 business days |
| Mobile wallet | The same wallet | Within 24 hours |
| Cash on delivery | Bank transfer or store credit | Store credit right away |
| Installments | The installment provider | Next statement |
Return requests appear in Orders → Returns. Approve it to send the customer a return label.
When the parcel arrives, mark each item Restock or Damaged.
Issue the refund or store credit. The customer gets an email when it's done.
Offer the ways your customers actually like to pay. Each method can be switched on or off in Payments, and all of them land in the same orders list.
Visa, Mastercard and Meeza, with 3-D Secure. Customers pay without leaving your store.
Mobile wallets and instant payments. The customer approves the payment on their phone.
The courier collects cash at the door. Set a maximum order value and an optional fee to cover collection costs.
Buy now, pay later over 3 to 12 months. You get the full amount; the provider collects the installments.
With Test mode on, only test cards work and no money moves. Use it after any payment change, then switch it off.
Payouts arrive in the bank account under Payments → Payout account. Each payout lists the orders, fees and refunds it covers, so it matches your bank statement line by line.
Only the store owner can change it, and payouts pause for 48 hours as a security check.
Shipping zones decide where you deliver and what customers pay at checkout. Set them once, and checkout picks the right rate for every address.
Go to Settings → Shipping.
Each zone is a group of places that share the same prices. Addresses outside every zone can't check out.
Name the zone and pick its governorates, cities or countries.
The options customers choose from in this zone. Each rate has a condition, a price and a delivery estimate.
Free standard shipping above an order total. A good threshold is about 30% above your average order value.
Exactly what customers in this zone see at checkout, with real arrival dates.
| Type | How the price works | Best for |
|---|---|---|
| Flat | One price per order | Most stores, light products |
| By weight | Base price plus a price per extra kilo | Heavy or mixed baskets |
| By order total | Different prices for different cart totals | Rewarding bigger orders |
| Courier live rate | Calculated by the courier at checkout | International shipping |
Checkout finds the zone that matches the address, shows every rate whose condition fits the cart, and selects the cheapest one by default. If no rate fits, the customer sees a message asking them to contact you.
Add a weight to every product. Without it, weight-based rates treat the item as 0 kg.
Discount codes bring people back and push bigger baskets. This walkthrough builds a typical campaign code from start to finish.
Go to Marketing → Discounts → Create discount.
What customers type at checkout. Short, readable and in capitals, like SUMMER20.
Percentage, fixed amount, free shipping, or buy X get Y.
How much it takes off, and whether it applies to everything or to chosen products and collections.
A minimum order total or number of items. This protects your margin on small orders.
Cap the total number of uses, and limit it to one use per customer.
When the code starts and ends. Times follow your store's time zone.
Checks the rules in plain words before you save. Click Save discount to finish.
| Combine with | Default | Note |
|---|---|---|
| Sale prices | Allowed | The code applies to the sale price. |
| Another code | Not allowed | One code per order keeps margins safe. |
| Free shipping | Allowed | Shipping discounts always stack. |
A 20% code on top of a 24% sale price is 39% off the original price, not 44%. Make sure that still covers your costs.
Reports turn orders into decisions. These are the numbers worth checking weekly, and what each one really measures.
| Metric | How it's calculated | Watch for |
|---|---|---|
| Gross sales | Product price × quantity, before discounts | Growth week on week |
| Net sales | Gross sales − discounts − returns | The number your bank sees |
| Average order value | Net sales ÷ number of orders | Rises with bundles and free-shipping thresholds |
| Conversion rate | Orders ÷ store sessions | Drops after price or checkout changes |
| Returning customers | Customers with 2+ orders ÷ all customers | Loyalty and service quality |
Open Reports and pick a report, like Sales by product.
Pick the dates, then filter by category, channel or payment method.
Click Export → CSV. The file arrives in your email within a few minutes.
Reports update every 15 minutes. Today's numbers may be a little behind the Orders list.
Give every person their own account with only the access they need. It's safer, and the order timeline shows who did what.
